Statement of Work - Business Websites (Powered by WordPress / Shopify)

A battle-tested project plan to achieve website success.

By agreeing to this Statement of Work (SOW), the parties agree to be bound by the terms and conditions set out in this agreement and the “Contract,” sent with your specific project, concerning the Services to be performed under this SOW.

Term

The term of this SOW will commence on the subscription, payment, or acceptance date in your generated invoice or scope request. It will continue until all services have been performed and all deliverables delivered by Virtually(Creative) unless terminated earlier under the Contract for the project. Expiration or termination of the Contract will not serve to terminate this SOW. All applicable terms and conditions of the Contract will continue to apply to this SOW until the expiration or termination of this SOW.

Project Description

Virtually(Creative) shall perform the services described in this SOW, which shall supplement the executed agreement between the parties. This SOW covers professional website services under one of four tiers: Starter, Growth, Premium, or Custom (Bespoke). Each tier includes clearly defined deliverables outlined in the Scope of Services section below.

All website development services are delivered by Virtually(Creative)’s vetted development partners and managed entirely by our team. Clients interact exclusively with Virtually(Creative) throughout the project lifecycle.

Scope of Services

For Starter Websites ($950+):

Virtually(Creative) will build a single-page scrolling website using a premium pre-selected WordPress template.

  • Minimal customization to fonts, colors, and logos to align with your existing branding.
  • Basic hosting setup and site launch via Virtually(Creative)’s managed hosting environment.
  • Mobile responsiveness and basic SEO setup (meta tags, sitemap).
  • SEO & speed optimization pass prior to launch.

Customer is responsible for providing all content via the Content Snare Request system. Design changes beyond basic branding (e.g., layout updates, additional functionality) will be subject to a change request fee of $220/hr CAD.

For Growth Websites ($1,850+):

Virtually(Creative) will build up to 5 custom-designed pages using WordPress and Elementor Pro.

  • Intermediate SEO setup (keywords, image optimization, speed enhancements).
  • Scalable hosting with SSL certificate setup.
  • Custom contact forms and analytics integration (Google Analytics and Search Console).
  • Mobile responsiveness for all pages.
  • SEO & speed optimization pass prior to launch.

Customer must supply all finalized content through the Content Snare Request system. Additional design elements, e-commerce functionality, or out-of-scope requests will incur a change fee of $220/hr CAD.

For Premium Websites ($3,950+):

Virtually(Creative) will build up to 10 pages fully customized for your brand, with advanced features and integrations.

  • Unique design tailored to your business needs.
  • Integrated AI systems for content and SEO recommendations.
  • Advanced blog/portfolio features and enhanced local SEO strategies.
  • Secure, scalable hosting with automated backups.
  • Optional e-commerce functionality for up to 10 products.
  • SEO & speed optimization pass prior to launch.
  • Optional content population (upload and formatting of provided content).

Additional functionality or integrations not covered in this package will be subject to a change request fee of $220/hr CAD.

For Custom (Bespoke) Websites ($7,500+):

Virtually(Creative) will deliver a highly tailored WordPress website built from the ground up based on in-depth consultation.

  • Includes up to 25 custom-designed pages as part of the initial project scope. Additional pages may be added at an agreed-upon rate or via batch import using automated tools (if applicable).
  • Fully customized design and layout, with tailored animations, interactive elements, and immersive user experiences.
  • Integration of AI-driven tools for advanced content and SEO optimization.
  • Enterprise-grade e-commerce functionality and third-party API integrations, as needed.
  • Advanced local and technical SEO implementation.
  • Premium hosting on a high-performance, secure server with automated backups and performance monitoring.
  • SEO & speed optimization pass prior to launch.
  • Content population included (upload and formatting of provided content).
  • Comprehensive post-launch support for up to 3 months.

For sites requiring more than 25 pages, an Additional Scope Request will outline the additional cost and timeline, especially for manually designed or content-intensive pages.

Engagement Models

Engagement Models

Virtually(Creative) supports two primary engagement paths depending on whether finalized designs are provided at project kick-off:

Development-Only

The most common engagement. The Customer or their team provides finalized designs, and Virtually(Creative) handles all development, QA, SEO optimization, and launch. A detailed quote is issued after design review.

Design + Development

When design support is required, Virtually(Creative) will lead the full creative and technical process — from UI/UX research and wireframing through to high-fidelity design, development, and launch. Design approval occurs before development begins, and a separate cost estimate for development is issued at that stage.

Note: For Design + Development engagements, all packages are subject to an additional design phase fee quoted separately based on scope and complexity.

Project Specifications

Development-Only Process

The following phases apply to all Development-Only engagements:

  1. Design Review & Detailed Quote — Provided designs are reviewed and a fixed cost estimate is prepared.
  2. Agreement Email & Kick-Off Call — 1-hour call to confirm scope, timeline, and meeting rhythm.
  3. Project Setup — Technical setup of environments, repositories, and project tools.
  4. Front-End & Back-End Development — Pixel-perfect implementation of designs with scalable, maintainable code.
  5. Quality Assurance & Technical Review — 3 rounds of internal QA across browsers and devices before client review.
  6. SEO & Speed Optimization — On-page SEO fundamentals and performance improvements for faster load times.
  7. Content Population (Optional) — Upload and formatting of provided content, if applicable.
  8. First Look & Staging Access — Client receives access to the staging environment for review via Pastel.
  9. Client Feedback & Revisions — Up to 2 rounds of client-facing feedback and refinements.
  10. Site Acceptance & Pre-Launch Prep — Customer approval before Code Freeze.
  11. Final Website Migration & Launch — Secure handover and deployment to the production environment.

Design + Development Process

The following phases apply when Virtually(Creative) is leading both design and development:

  1. UI/UX Research & Design Brief — Requirements analysis and alignment on goals and creative direction.
  2. Wireframing — Development of user flows and low-fidelity wireframes to establish structure and functionality.
  3. High-Fidelity Design — Creation of polished layouts with visuals, typography, and branding applied.
  4. Design Review & Feedback — Presentation of designs, incorporation of feedback, and final refinements.
  5. Design Approval & Development Quote — Final design sign-off and detailed cost estimate for development phase.
  6. Project Setup — Technical setup of environments, repositories, and project tools.
  7. Front-End & Back-End Development — Pixel-perfect implementation of approved designs.
  8. Quality Assurance & Technical Review — 3 rounds of internal QA across browsers and devices before client review.
  9. SEO & Speed Optimization — On-page SEO fundamentals and performance improvements.
  10. Content Population (Optional) — Upload and formatting of provided content, if applicable.
  11. First Look & Staging Access — Client receives access to the staging environment for review via Pastel.
  12. Client Feedback & Revisions — Up to 2 rounds of client-facing feedback and refinements.
  13. Site Acceptance & Pre-Launch Prep — Customer approval before Code Freeze.
  14. Final Website Migration & Launch — Secure handover and deployment to the production environment.

Kick-Off Requirements:

Project commencement requires the following:

  • Approved decision-maker(s).
  • Signed Contract.
  • First payment processed.
  • Scheduled kick-off call.
  • For Development-Only: Finalized designs submitted prior to quote issuance.

Once kick-off requirements are met, development can typically commence within 1–3 business days.

Timeline Adjustments:

Delays caused by revisions or missed deadlines will require a new timeline based on Virtually(Creative)’s availability. Additional charges may apply.

Payment Terms

  • Projects under $1,000 CAD: Payment in full is required upfront before work begins.
  • Projects $1,000 CAD and over: A commitment to a full-service marketing package is required,  monthly payments cover the cost of the project.

 

All payments must be received before the corresponding project phase is initiated. Virtually(Creative) reserves the right to pause work on any project where payment has not been received in accordance with the above schedule.

Acceptance Criteria

Approval Period:

Customer will have 5 business days to review and approve the site in a staging environment. Beyond this period, the site will be considered approved (“deemed approval”).

Pre-Launch Code Freeze:

A 48-hour code freeze will precede the production launch to ensure proper configuration. No changes will be permitted during this period.

Assumptions and Dependencies

  • All services are provided remotely.
  • Customer is responsible for domain registration and content submission.
  • Dormant projects may incur restart fees after 21 business days of inactivity.
  • All development work is delivered through Virtually(Creative). Clients will not interact with, or have visibility into, any third-party development resources engaged by Virtually(Creative).
  • For Development-Only engagements, finalized designs must be provided before a project quote can be issued.

Customer Responsibilities

To ensure a smooth project workflow and timely delivery of the services outlined in this SOW, the following are the Customer’s responsibilities:

Content Submission:

The Customer is responsible for submitting all required content (text, images, videos, etc.) via the Content Snare Request system within the timeline specified during the kick-off call.

  • For Starter and Growth packages: All content must be submitted before development begins.
  • For Premium and Custom (Bespoke) packages: Content may be submitted in phases as agreed upon during project planning.

Failure to meet deadlines for content submission may result in delays and additional fees.

Domain and Hosting:

The Customer is solely responsible for domain registration and renewal.

For Starter and Growth packages:

  • The Customer may choose to use self-provided hosting, but access must be granted to Virtually(Creative) to complete the setup and deployment.
  • Hosting with Virtually(Creative) is required if the Customer wants to upgrade to Elementor Pro instead of using the free version included in these tiers.

For Premium and Custom (Bespoke) packages:

  • Virtually(Creative) provides secure, scalable hosting as part of the service.

Revisions and Approvals:

The Customer must provide timely feedback and approvals using Pastel, Virtually(Creative)’s feedback platform, to streamline the review process and ensure clarity in requested changes.

First Feedback Round: The Customer will receive access to the staging site via Pastel for review and comments. All feedback must be provided through Pastel within 5 business days of receiving the link.

Final Approval (Site Acceptance): The Customer must provide final approval of the staging site within 10 business days of receiving the URL for review. Approval must be submitted via Pastel or email.

Failure to provide timely feedback or approvals may result in project dormancy and additional fees. Revisions submitted outside of Pastel or beyond the approved content scope will be treated as out-of-scope work and subject to additional charges as outlined in the Scope of Services section above.

Rescheduling:

The Customer may reschedule the agreed-upon launch date before the Code Freeze period by giving Virtually(Creative) at least 3 business days’ notice. Rescheduling after the Code Freeze may result in additional fees.

Dormancy:

The project will be deemed dormant if there is no response from the Customer within 21 business days of the last communication. Dormant projects may be subject to deprioritization, delays, and a restart fee equal to the project’s list price.

Ongoing Support & Maintenance

Virtually(Creative) offers monthly website maintenance and support plans to keep your site secure, up to date, and performing at its best. All maintenance work is managed directly by Virtually(Creative) with guaranteed response times and a dedicated team familiar with your website.

Beneficial Conditions:

  • Hours are valid for 12 months from the date of purchase with no monthly cap — use as many or as few hours as needed each month.
  • Any remaining hours at the end of month 12 may be applied toward a larger development project (15+ hours).
  • One support plan covers any number of websites and clients under your account.
  • A dedicated Project Manager, senior developer, and UI/UX designer are assigned to your plan and remain consistent throughout the engagement, with backup resources available to ensure zero downtime.
  • Urgent support tickets are typically picked up within 1 business day.


Unused hours within a given month do not roll over on monthly plans. Tasks exceeding the included hours will be billed at $220/hr CAD. Support plans may be adjusted with 30 days’ written notice.

Working Hours & Availability

Virtually(Creative)’s is available for daily collaboration and communication up to 3 PM EST. On delivery days, critical milestones, or when urgent needs arise, extended availability is maintained to ensure smooth execution and timely handover.

Confidentiality & NDA

Virtually(Creative) treats all client information, project details, and business data as strictly confidential. No project details are shared with any third party without prior written consent.

A mutual Non-Disclosure Agreement (NDA) is available upon request and can be executed before any project details are exchanged. Alternatively, if the Customer has an existing NDA they require to be signed, Virtually(Creative) will review and execute it prior to project commencement.

Accessibility

Virtually(Creative) is committed to creating inclusive digital experiences by adhering to WCAG 2.1 AA accessibility best practices. Accessibility is a core competency of our team and is prioritized throughout every phase of design and development — not treated as an afterthought.

All websites built by Virtually(Creative) undergo an internal accessibility review prior to client delivery, regardless of which development resources are engaged. This review is conducted by Virtually(Creative) directly and covers automated compliance checks as well as manual evaluation of key user interactions.

We utilize automated tools and in complex cases, manual remediation, to assess compliance and address accessibility during implementation. However, Customer input may be required for full remediation, particularly for content or features that require specific business processes.

It is important to note that while Virtually(Creative) strives to make websites as accessible as possible, achieving 100% accessibility compliance may not always be feasible due to limitations in WordPress or other technologies. For certain mandatory business processes, a fully code-level accessible solution may not be possible. Accessibility is an ongoing process, and we aim to provide solutions that maximize inclusivity without compromising essential functionality.
