By agreeing to this Statement of Work (SOW), both parties consent to the terms and conditions outlined herein and in the accompanying “Contract” specific to your project, pertaining to the Services to be performed under this SOW.
Last Updated: Feb 25, 2025
This SOW commences on the subscription, payment, or acceptance date specified in your invoice or scope request and continues until all services are performed and deliverables provided by Virtually(Creative), unless terminated earlier per the Contract. Expiration or termination of the Contract does not terminate this SOW; all applicable terms and conditions of the Contract remain in effect until this SOW concludes.
Virtually(Creative) provides Business Automation Consulting & Development Services to help companies optimize operations using no-code and low-code automation platforms, such as Zapier and Make (Integromat).
This service is client-side automation consulting, meaning we design, build, and maintain multi-step workflows within the client’s own automation environments, ensuring seamless integrations across tools and systems without requiring technical expertise.
This service includes three key deliverables, each tailored to the complexity of the automation needs:
1.Automation Strategy & Workflow Mapping – Consultation and design of a strategic automation plan based on business goals.
2.Automation Build & Implementation – Hands-on development of custom workflows using no-code tools like Zapier & Make.
3.Automation Monitoring & Optimization – Ongoing support and maintenance to ensure seamless performance and scalability.
Each service offering is detailed in the Scope of Services section below.
Automation Strategy & Workflow Mapping ($750 – Strategy Consultation & Blueprint)
A structured roadmap for designing and implementing no-code automations.
✅ Business Process Analysis
•Conduct a 1-hour discovery session to assess the client’s existing workflows.
• Identify manual tasks, bottlenecks, and inefficiencies that can be automated.
✅ Automation Blueprint & Recommendations
•Define a step-by-step automation roadmap based on business objectives.
•Identify the best no-code tools (Zapier, Make, etc.) for specific workflow needs.
• Provide recommendations for API integrations if required.
✅ Technical Feasibility & Risk Assessment
•Review data integrity and dependencies to prevent automation failures.
•Provide a structured implementation timeline based on complexity.
Automation Build & Implementation (Starting at $1,500 per Workflow)
Custom automation development, setup, and deployment within the client’s automation environment.
✅ Environment Setup & Configuration
• Configure automation workflows inside the client’s Zapier or Make instance.
• Set up API connections, webhooks, and authentication for third-party tools.
✅ Custom Workflow Development
•Build multi-step automations connecting CRMs, email systems, project management tools, and databases.
• Implement conditional logic, data parsing, and error handling mechanisms.
•Add human approval steps where needed to maintain workflow oversight.
✅ Testing & Debugging
•Conduct rigorous testing to prevent automation failures or broken workflows.
•Simulate real-world scenarios to ensure reliability and scalability.
✅ Launch & Training
•Deploy the fully functional automation into the client’s live environment.
• Provide training on managing, updating, and troubleshooting automations.
Automation Monitoring & Optimization (Starting at $750/month for Ongoing Support)
Continuous monitoring, maintenance, and optimization of automated workflows.
✅ Real-Time Monitoring & Error Handling
• Monitor automations for failures, timeouts, and API connection issues.
•Implement alerts and automated failsafe mechanisms to prevent workflow interruptions.
✅ Automation Performance Optimization
• Adjust automations based on data volume changes, API updates, and business shifts.
• Streamline existing automations to reduce task execution times and API call limits.
✅ Monthly Maintenance & Support
• Provide up to 3 automation modifications or updates per month.
• Offer priority troubleshooting for urgent automation issues.
1) Kick-Off & Automation Strategy Development
•1-hour discovery call to assess client business needs and automation goals.
•Identify key processes to automate and map out workflow steps.
2) Automation Planning & Build (For Workflow Implementation Clients)
•Develop an automation blueprint detailing triggers, actions, and integrations.
• Implement automations in Zapier, Make, or client’s preferred no-code platform.
3) Testing & Refinement
•Conduct a full-scale test of each automation to ensure expected outputs.
•Adjust logic, filtering, and triggers to prevent unnecessary errors.
4) Deployment & Training
• Launch automations in a live environment with monitoring enabled.
•Provide a detailed handoff guide and live training session on maintaining the automation.
5) Ongoing Support & Optimization (For Retainer Clients)
•Continuously track automation performance and resolve any failures proactively.
• Optimize workflows to adapt to evolving business needs.
Kick-off Requirements:
To initiate the project, the following are required:
• Approved decision-maker(s).
• Signed Contract.
• First payment processed.
• Scheduled kick-off call.
Timeline Adjustments:
Delays caused by revisions or missed deadlines will necessitate a revised timeline based on Virtually(Creative)’s availability. Additional charges may apply.
Approval Period:
Clients have 5 business days to review and approve deliverables. Lack of response within this period constitutes approval (“deemed approval”).
• All services are provided remotely.
• Client must grant access to necessary third-party platforms.
•Timely feedback and approvals are essential to maintain the project schedule.
To ensure a smooth workflow and timely delivery, clients are responsible for:
✅ Providing necessary API keys, credentials, and platform access.
✅ Defining clear business rules for automation logic.
✅ Assigning a point of contact for ongoing workflow adjustments.
Dormancy & Restart Fees:
If a project is inactive for 21 business days due to lack of client response, it will be considered dormant and may be subject to restart fees equal to the project’s list price.
Virtually(Creative) is committed to creating inclusive digital experiences by adhering to WCAG 2.1 AA accessibility best practices wherever possible. Our approach ensures that accessibility is prioritized throughout the design and development process.
We utilize automated tools to assess compliance and address accessibility during implementation. However, Customer input may be required for full remediation, particularly for content or features that require specific business processes.
It is important to note that while Virtually(Creative) strives to make websites as accessible as possible, achieving 100% accessibility compliance may not always be feasible due to limitations in WordPress or other technologies. For certain mandatory business processes, a fully code-level accessible solution may not be possible. Accessibility is an ongoing process, and we aim to provide solutions that maximize inclusivity without compromising essential functionality.
We build websites by people, for people. We believe every project should blend creativity with purpose, resulting in a digital experience that’s not only beautiful but also meaningful.
